(as a parent/guardian),

I am raising my concerns about my missed appointment. 

I am located in Derby WA.  The appointment was scheduled with the General Surgeon clinic for my child.

I received a message on my message bank on a weekday afternoon, to call back to schedule a time for my child's appointment with general surgeon. I called back the following day in the morning, I spoke to the Admin Clerk, we discussed availability for appointment, slot times available was mid-morning or midday, I agreed to book our time for mid-morning and I mentioned to Admin Clerk that I may need to change my time to the later date due to my child having other commitments at school - the Admin Clerk mentioned that if I was late, that it was okay to rock up at the later time. 

Upon confirming later on that my child and I was unable to attend the mid-morning appointment as scheduled, I called back to Visiting Specialist Clinic and spoke to the Admin Clerk on the following week, the Admin Clerk checked appointment times in the book (as they mentioned) and advised me that the Specialist Doctor doesn't leave to go back Broome until midday and that my rescheduled time for midday was locked in.

We arrive at the Derby Hospital for our scheduled appointment early, to be told by the Clerk, that the Doctor has literally just left to back to Broome. And that they tried calling me to confirm my appointment, when in fact, I did not receive a phone call at all. Had I  received a call, I felt I would have advised that we are still coming to attend my child's appointment. 

I then asked what happens now, to be told that I would have to wait to be rescheduled for the next Specialist visit, the following month.

I contacted the Admin Co-Ordinator at Derby Hospital, to express my concern of disappointment.

Thank you for reaching out to the Derby Fitzroy Valley Health Service and raising concern regarding your child’s missed appointment.

Our team have investigated the circumstances relating to your child’s appointment and sincerely apologise for the unsatisfactory outcome due to changes in the surgeon’s schedule.

We greatly appreciate you bringing this concern to our attention as you have provided the Derby Fitzroy Valley Health Service with the opportunity to improve our bookings processes. Upon review, we can see in our systems that there were efforts made to contact you regarding the scheduled changes on the day. However, the clerical officer was unable to reach you on the mobile number listed on our system. I have spoken with the staff in relation to your child’s missed appointment that occurred due to changes on our end. Moving forward, our focus will be ensuring all patients on the appointment list are seen, as well as ensuring a reasonable amount of time is allocated in the event patients do not attend their appointments. I understand this is not the case seeing as you and your child arrived 10 minutes prior to your allocated appointment time.

In the future, we will endeavour to ensure the Specialist does not leave site prior to the end of any previously confirmed allocated appointments. I have been informed that your child has now been scheduled for a new appointment and we hope for a smoother patient journey moving forward. Once again, the team at Derby Fitzroy Valley Health Service sincerely apologise for the inconvenience on the day and overall delay in seeing the General Surgeon. Thank you for reaching out to us. Carers play a vital role in ensuring children’s health and wellbeing is maintained to a high standard, and I am grateful for your initiative in advocating for your child.
